Allenby Solutions ("we," "our," "us") is committed to protecting your privacy. This policy explains how we collect, use, disclose, and protect your personal information when you visit allenbysolutions.ca or use our services (chatbot, voice agents, SMS, Facebook and Instagram messaging, appointment booking).
This policy complies with the Personal Information Protection and Electronic Documents Act (PIPEDA) at the Canadian federal level, and with Quebec's Law 25.

2. Information We Collect
2.1 Information You Provide
When you fill out our contact form or book a consultation, we collect:
- Your full name
- Your email address
- Your phone number (optional)
- The service you are interested in
- The content of your message
2.2 Information Collected Automatically
When you visit our site, we may automatically collect your IP address (anonymized), browser type and operating system, pages visited and time spent, and the referring source.
2.3 Information Related to Our Communication Services
When you communicate with a business that uses our services — by phone, SMS, chat, Messenger or Instagram — we process the content of those exchanges and the identifiers needed (phone number, platform-provided messaging ID) in order to route, display and respond to messages. See sections 11 and 12.
3. How We Use Your Information
We use your information only to: respond to your inquiries and provide our services; contact you about your request; improve our site and services; comply with legal obligations. We never sell your personal information to third parties.
4. Sharing With Third Parties (Subprocessors)
We never sell your information. We rely on technical subprocessors, strictly to provide our services, each bound by confidentiality agreements compliant with PIPEDA and Law 25. They notably handle:
- hosting and infrastructure (website, database and functions);
- telephony and SMS (routing of calls and text messages);
- artificial intelligence (understanding, response generation and speech synthesis for our assistants and voice agents);
- calendar (appointment booking — see section 10);
- social messaging for Facebook, Instagram and Messenger (see section 11).
An up-to-date list of our subprocessors is available on request at info@allenbysolutions.ca. We may also disclose information to government authorities only if required by law.
5. Cookies and Similar Technologies
Our website uses essential cookies necessary for functionality. If we use analytics cookies (Google Analytics, etc.), you will be informed and may opt out.
6. Data Retention
We retain your personal information only for as long as necessary for the purposes for which it was collected, or to comply with a legal obligation.
7. Security
We implement reasonable technical and organizational measures to protect your personal information against loss, unauthorized access, disclosure, alteration, or destruction.
8. Your Rights
In accordance with PIPEDA and Law 25, you have the right to access your information, correct it, request deletion, withdraw consent at any time, and file a complaint with the Office of the Privacy Commissioner of Canada or Quebec's Commission d'accès à l'information. 9. Transfer Outside Canada
If we use providers based outside Canada, we ensure your data receives an equivalent level of protection.
10. Access to and Use of Google Data
Allenby Solutions uses the Google Calendar API to enable appointment booking. When you connect your Google account:
- Data accessed: your availability (free/busy) and the appointment events on your calendar.
- Use: solely to display your open time slots and to create, reschedule or cancel the appointments booked through our tools (booking widget, AI voice agent).
- Storage: we only keep the access tokens (stored securely) and the appointments created. We do not read the rest of your calendar.
- Sharing: no Google data is sold or shared for advertising.
- Revocation: you can revoke access at any time; the tokens are then deleted.
Allenby Solutions' use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
11. Social Media — Facebook and Instagram (Messenger)
Our services let a business client connect its Facebook Page and professional Instagram account to receive and reply — manually or with our AI assistant — to private messages (Messenger and Instagram Direct) from a single inbox.
- Data processed: the content of the messages exchanged, the user identifier provided by Meta (a page/account-scoped ID, not your full profile), the page ID and name, and timestamps. A page access token, provided by the business client, is stored securely to allow sending replies on its behalf.
- Use: display the messages in the business's inbox, enable replies (human or AI-generated), and keep the conversation history.
- AI processing: messages may be processed by an AI provider to suggest or send replies; this data is not used to train models.
- Sharing: this data is not sold or used for advertising; only our technical subprocessors (section 4) process it as needed.
- Retention and deletion: messages are kept while the business client's account is active. You may request deletion of your data by emailing info@allenbysolutions.ca, or by removing the app's access from your Facebook settings. See our Data Deletion page.
Allenby Solutions' use of information received from Meta APIs adheres to the Meta Platform Terms and applicable developer policies.
12. Telephony, SMS and AI Voice Agents
Our services include phone numbers, sending and receiving SMS, voicemail, and bilingual AI voice agents.
- Data processed: your phone number, SMS content, the content and transcription of calls and voicemails, and call metadata (date, duration).
- Recording and transcription: calls handled by our voice agents, and voicemails, may be recorded and/or transcribed to route the request, respond to it, summarize it and improve service quality. A notice is given at the start of the interaction where required.
- AI voice agents: you interact with an automated assistant whose responses may occasionally be inaccurate. Transcription, response generation and speech synthesis are handled by our AI providers, and routing by our telephony provider.
- SMS: automated SMS are only sent with the required consent (CASL-compliant); you may opt out at any time by replying STOP.
- Retention and deletion: same rules as section 6; deletion on request at info@allenbysolutions.ca.
13. Mobile Applications
This policy also applies to our mobile applications, including Allenby Punch (time tracking and geofencing for field employees), the Allenby CRM app (customer relationship management and telephony) and Mon Chiot (listing management for dog breeders). The data below is collected only with your consent, through the permissions you grant on your device, and you can revoke them at any time in your device settings.
13.1 Location
The Allenby Punch application uses your device's location, including in the background, solely for the geofencing feature: automatically detecting entry to and exit from the job-site zones defined by your employer in order to record work hours. Background location is only active when you are assigned to a job site with geofencing enabled. This data is used exclusively for time tracking; it is never sold or used for advertising. You can disable location access at any time in your device settings. Our other applications do not collect your location.
13.2 Camera and Photos
Our applications may access the camera and your photo library, only when you choose to take or upload an image:
- Mon Chiot: puppy photos for your listings;
- Allenby CRM: photos attached to your listings;
- Allenby Punch: photographing invoices and receipts to attach and submit.
No image is captured without your action. Uploaded photos are stored on our secure hosting (Canada region).
13.3 Microphone
The Allenby CRM application uses the microphone when you make or receive calls through the built-in telephony (VoIP) feature. The microphone is only active during a call. Call handling is described in section 12.
13.4 Device Identifiers
Our applications may record an installation identifier and the device's model and operating-system version for security, fraud prevention and proper functioning.
13.5 Account and Data Deletion
You can request deletion of your account and associated data directly from within the app, or by writing to info@allenbysolutions.ca (subject "Data Deletion"). See also our Data Deletion page.
14. Changes to This Policy
We may update this policy. The "last updated" date at the top indicates the current version.
